Why should I outsource my payroll?
The main reasons why businesses outsource their payroll include:
- Cost – see below in ‘How will payroll outsourcing save me money’
- Confidentiality – all payroll details are held confidentially away from your main business premises, meaning sensitive information does not get into the wrong hands.
- Reliability – removes the risk of your employees not being paid due to unexpected sickness absence of key payroll staff.
- Security – We are registered under the data protection act and take data security and confidentiality very seriously. All of our data is backed up onto two different servers overnight, one being off site, and all data is encrypted.
Why Online Payrolls?
Our client focussed, experienced and dedicated team will provide you with a personalised payroll service to suit your requirements. We understand that all businesses are different and tailor our payroll services to meet your needs. We use two software packages which are both HMRC accredited, with one we do all your input and run your reports to provide you with a ‘managed’ payroll service, the second is an online payroll system where clients can log in to the payroll server to process their own amendments and run their own reports.
We ONLY do payroll, nothing else, meaning all our staff are payroll specialists. We are not accountants who just offer payroll processing as an add-on service.
I only have a small number of employees, should I still outsource my payroll?
All companies that employ staff must be registered for a PAYE scheme with HMRC, and in most cases must deduct tax and national insurance, keep details records, and pay over the deductions to HMRC in a timely manner. If you do not keep up to date with the current payroll legislation, HMRC will impose fines, irrespective of the size of the company.
How much will it cost to outsource my payroll to you?
This depends on how many employees you have and how often they are paid. Use our no obligation quotation box – this is fully inclusive of all year end processing, the only additional cost is if you require us to send BACS files on your behalf. There are no extra charges if you have lots of payments/deductions or if you require a large number of reports. You are only charged according to the number of payslips processed in the relevant period (subject to a minimum charge), so if you experience a downturn in business and have to reduce staff numbers, you don’t have to continue to pay a higher fixed charge.
Do we have to pay a set up charge?
In most cases there is no set up charge – this applies to small payrolls or those who can provide their payroll data in excel format. For larger payrolls who can only provide their data on paper or in a format which can not be transferred to excel, we may have to charge a small fee to cover manually inputting the data.
How will payroll outsourcing save me money?
Our team of highly professional payroll staff free up time from your in-house staff to process your payroll and ensure that your company complies with all payroll related legislation, which in turn means that you will not be liable for any penalties imposed by HMRC for non-compliance. Also if you take into account not just payroll staff salaries and employer’s NI, but pension/healthcare contributions and other benefits, purchase and maintenance of payroll software, stationery, staff training, and temp costs for holiday/sickness cover, you will see how cost-effective our all-inclusive price is.
How long will it take to outsource our payroll to you?
This depends on how many employees you have, how you can provide the information, and if you require a parallel run (which we advise for larger payrolls, this is not chargeable). Our software has an excellent import facility from excel or csv, so your details can be loaded into the system and payroll processed very quickly. Please contact us to discuss your requirements.
What do I do if I need advice on tax or NI or statutory payments?
Just call us, where one of our team will advise you what to do. Further information will also be available on the ‘downloads’ section of our website.
What happens at the end of the tax year?
We send you P60s for all your current employees, and file the P14 and P35 information online to HMRC direct from our software, ensuring you comply with HMRC online filing legislation.
Do you provide a P11D service?
We use specialist software to take away the burden of this annual task, for both clients and non-clients. Please contact us for further details and a quotation.
